Lining ran out on a Sunday: fabric and trims inventory for tailors

How tailors and boutiques keep fabric by the metre, linings and trims by the piece, get low-stock warnings, and keep machines serviced before the rush.

VirtueTailor2 min read

The short answer

Keep fabric in metres and trims in pieces, record each roll and packet as it comes in and as it goes into an order, and set a low-stock level for each. The app warns you before the lining runs out, not after. Keep machines on the same list with their next service date and the mechanic's number.

The problem

Fabric and trims run out mid-order.

Lining finishes on a Sunday. Hooks are over the night before a delivery. A machine breaks the week before Diwali, and the mechanic's number is in someone's old phone.

Why do tailors run out of stock?

Because the count lives in someone's head. A shop rarely runs out of the cloth customers bring — it runs out of what it supplies itself: lining, canvas, buttons, hooks, zips, piping, threads. These are cheap, used every day, and noticed only when the last one is gone.

Metres and pieces

Fabric and lining are counted in metres; hooks, buttons and zips in pieces or packets. Your stock list should take both. Each movement is a line — 20 metres of cotton lining in from the supplier, 1.2 metres out to an order — so the count is always the sum of what came in and what went out, and you can see where it went.

Set a low-stock level once

For each item, decide the number below which you reorder — say 10 metres of lining, or 2 packets of hooks. When the stock falls under it, the app warns you, while there is still time to buy before the shop is busy.

Machines are stock too

A broken machine in festival week costs more than any roll of cloth. List each machine with its last and next service date, the mechanic's contact, and the EMI if it is on a loan. Service them before the rush, not during it.

Questions

How do tailors manage fabric inventory?

Record fabric in metres and trims in pieces, log each purchase and each use on an order, and set a low-stock level per item so the software warns you before you run out.

Can I track sewing machine servicing in an app?

Yes. VirtueTailor keeps machines with their service schedules, mechanic contacts and EMIs.
